Set up access-level profiles
Prepare reusable custom roles for your organization before inviting your team.
We recommend creating access-level profiles during organization setup, before inviting users. A profile saves a named set of access levels, so you can apply the same selections to people with similar responsibilities instead of configuring every invitation from scratch.
Think of profiles as your organization's custom roles. For example, you might define Content editor, Content reviewer, and Finance. The user's system role remains User; the profile defines the access levels for their work.
Decide which profiles you need
Start with the recurring responsibilities in your team. You do not need a separate profile for every person.
| Example profile name | Intended responsibility | Access to consider |
|---|---|---|
| Content editor | Write and update website content. | The content actions needed for the job. Leave site configuration and unrelated areas unassigned unless they are part of the responsibility. |
| Content reviewer | Inspect content without changing it. | Levels that allow viewing in the required areas. Check that editing actions are not included. |
| Finance | Handle bills and payments. | The billing actions needed for that work, without unrelated content or organization administration. |
These are example names you can use or adapt. Choose the actual levels from the categories available to your organization and check the actions included in each level. See Choose roles and access levels for role recommendations.
Create a profile on My Platform
- Open Access Level Profiles on My Platform for the intended organization.
- Select New Profile.
- Enter a clear profile name and a description of the responsibilities it covers.
- Under Access Levels, choose a level for each category the role needs. Leave unrelated categories as None.
- Review the selected levels and their intended scope, then select Create.
- Repeat for the other recurring responsibilities in your team.
The feature-specific categories available depend on the organization's active subscriptions. Built-in categories can also appear without a subscription. If an expected category is missing, check your subscription and ask your Industrix administrator to confirm the feature is enabled.
Use a profile when inviting someone
Follow Invite your team. Choose User as the system role and select the appropriate access-level profile. Review the resulting selections before creating the user.
For someone with different responsibilities, configure their category levels individually. A profile cannot enable a feature outside the organization's subscription, grant Admin, or replace access required for a specific resource such as a CMS site.
We recommend User with an appropriate profile for most members. Assign Admin only to someone the Owner deeply trusts with broad control, and only when that control is necessary. Profiles make it easier to give people the access they need while keeping their role as User.
Keep profiles and existing users up to date
Profiles are reusable templates. Updating a profile later does not automatically change access already applied to users.
When responsibilities change, update the profile for future use and review existing users' access separately. Confirm that each person can perform the required work and that unrelated actions remain unavailable.
