Create and publish collection items
Add records to a collection, review their languages, and control their visibility.
An item is one record in a collection. Its fields come from the collection's content model, so the form may differ between collections. A saved item begins as a draft until someone with publish access publishes it.
Add an item
- Select the CMS site, open CMS → Content → Collections, and open the intended collection.
- On the Items tab, select New item. If the action is unavailable, check your CMS access or whether the collection has reached its item limit.
- Fill the fields shown by the content model. Complete required fields and check any slug or media selections. Select Save.
- Reopen the item and review its content and status before making it public.
Use the content-language selector to review each language enabled for the site. Creating an item prepares values for the applicable languages, but your team still needs to write and review each translation. Later edits to one language do not automatically update the others. Save before switching languages.
Change visibility
From the item, select Publish when its content is ready. A published item may appear wherever the site's pages use that collection. Select Unpublish to return a published item to a non-public state. Archive removes an item from active use while retaining it in CMS; review dependent pages before doing so.
If a collection-backed page does not show the expected item, check the item status, its collection, the page's content source, and the selected language.
